Position Summary
The IT Asset Manager is responsible for defining and overseeing the execution of the Technology asset lifecycle strategy for White Plains Hospital, including the planning, acquisition, deployment, utilization, tracking, maintenance, and retirement of IT hardware, software and service assets. This position ensures that hospital IT asset practices are fully aligned with and leverage the broader health systems standardized asset management policies, processes, and technologies. This role will leverage current organizational capabilities while also guiding the successful implementation, integration and use of technologies such as ServiceNow IT Asset Management (ITAM) module to improve asset visibility, compliance, and cost efficiency.
Essential Functions and Responsibilities Include the Following:
- Understands and adheres to the WPH Performance Standards, Policies and Behaviors.
- Strategy & Governance
- Define and maintain ITAM policies, procedures, and standards for managing the full lifecycle of IT assets (hardware, software and services).
- Ensure compliance with internal policies and external regulations (e.g., licensing agreements, audit requirements).
- Ensure that hospital ITAM practices adhere to enterprise-wide asset management policies and utilize standardized technology platforms
- Serve as the subject-matter expert on IT asset management best practices.
- Lifecycle Oversight
- Oversee all asset lifecycle stages including procurement, inventory, deployment, tracking, maintenance, and decommissioning.
- Coordinate with procurement, finance, operations, and end-user support teams to ensure seamless asset management across departments.
- Procuring quotes for new assets and coordinating with the Office Manager and Sr. Director for Order placements.
- ServiceNow ITAM Implementation
- Lead and support the configuration, testing, and deployment of the ServiceNow ITAM module.
- Work closely with internal stakeholders and external consultants to ensure successful integration with CMDB and operational workflows.
- Assist in the migration of existing asset data into ServiceNow and help establish reporting dashboards and KPIs.
- Operational Execution
- Serve as the primary accountable party for the integrity and accuracy of all IT asset inventory data (hardware, software, and services).
- Lead efforts to locate and identify ANY equipment connected to the hospital networks that has been flagged as critical by the vulnerability scanning process, so that management can be informed of associated critical risks on a timely basis.
- Work closely with Procurement, Finance, Biomedical, and Facilities teams to ensure alignment on IT asset ownership, location, and value.
- Ensure accurate and timely data entry, tagging, and reconciliation of asset records in the inventory system.
- Partner with IT support teams to ensure alignment of asset assignments with incident and change management activities.
- Monitor vendor contracts and warranties to track renewals, service obligations, and replacement planning.
- Reporting & Analysis
- Provide regular and ad hoc reports on asset inventory, utilization, compliance status, and lifecycle metrics.
- Support budget forecasting and cost optimization efforts by identifying underutilized or over-deployed assets.
- Performs all other related duties as assigned
Education & Experience Requirements
- Bachelor’s degree in Information Technology, Business Administration, Healthcare Informatics, or related field; equivalent experience may be considered 5+ years of experience in IT asset management, preferably in a healthcare or large enterprise environment.
- Strong data analysis and documentation skills with experience generating datasets, visualization, technical documents, diagrams, solutions specifications, guidelines, processes, and procedures.
- Preferred candidates will have Certification in IT Asset Management (e.g., CHAMP, CITAM, or ITIL Foundation).

Physical/Mental Demands/Requirements & Work Environment
- May be exposed to chemicals necessary to perform the required tasks. Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) database and may be accessed through the hospital’s Intranet site (Employee Tools/SDS Access). A copy of the SDS database can also be found at the hospital switchboard, saved on a disc.
- Must be able to move throughout the hospital as well as travel (drive) to remote hospital sites.
- Must frequently use a computer and other office and telecommunication equipment
- Occasionally, ascend/descend a ladder to install, repair, and inspect ceiling-mounted equipment.
- Frequently positions self to work on data racks, network jacks, fax machines, and nurse call equipment.
- This person will frequently need to communicate and exchange information with colleagues during the course of routine days and specific networking projects.
- Must be able to identify and make determinations about specific network and telecommunications equipment.
- Must be able to move objects up to fifty pounds.
