We are currently seeking a Full-Time Health Information Management Specialist (HIMS) to join our team in Dade City, FL. The Health Information Management Specialist (HIMS) at Premier Community HealthCare Group, is integral to the effective management of health records. This position is responsible maintaining our Electronic Health Records (EHR) system and demands precision, discretion, and compliance with HIPAA regulations. The HIMS team partners across Premier’s various health center and patient support services departments in maintaining clean and accurate record retention to promote a positive patient experience.
Essential Duties and Responsibilities:
- Review medical record release requests for accuracy, including examining releases received through mail, e-faxes, or in person.
- Manage the printing and distribution of charts from the electronic health record, hard copy, or digital storage.
- Process and mail records to requesting entities and handle subpoena requests in accordance with organizational policies and procedures.
- Scan patient information into the EHR system (EPIC), ensuring correct labeling and scanning to appropriate virtual image folders.
- Task documents to providers for verification if dates or signatures are missing.
- Secure processed patient information, ensuring scanned charts and loose documents are placed in a secured shred area for destruction.
- Import and review e-faxes, ensuring correct patient identification and appropriate labeling and tasking to providers or entities.
- Process e-fax medication prior authorizations or denials.
- Obtain patient records from hospital portals as per provider requests, ensuring efficient retrieval and integration into patient care.
- Actively participate in and adhere to patient care expectations to support clinical goals and quality improvement initiatives.
- Ensure confidentiality and HIPAA compliance at all times.
- Keep other care team members informed when situations occur that disrupts timely patient flow through site.
- Contribute to community give back initiatives and be an advocate for Premier’s mission.
- Adhere to patient care needs and the core values of Premier Community HealthCare to a provide best-in-class patient experience.
- Work towards attaining department goals and drive Quality Improvement / Quality Assurance (QI/QA)

Knowledge, Skills, and Abilities:
- EHR and Technology Adaptability: Proficient in adapting to healthcare information systems, particularly EPIC, and swiftly acclimatizing to new software and technological updates to EHR in healthcare management.
- Organizational Skills: Precise accuracy and a strong focus on attention to detail for effective management and organization of health records
- Communication: Ability to communicate verbally and in writing to patients and the care team, while maintaining professionalism in all interactions
- Attention to Detail: Maintains high levels accuracy in managing patient information, ensuring the right information is preserved in the EHR properly.
- Problem-Solving: Identifies and resolves issues related to patient information management, demonstrating proactive problem-solving skills
- Regulatory Compliance: Clear understanding of healthcare privacy and security regulations, including HIPAA, ensuring compliance in all processes

Qualifications:
- High School Diploma or GED
- Obtain and maintain Epic certification / annual compliance throughout employment.
