Position Summary:
We are seeking a compassionate and detail-oriented Intake Sales Coordinator with a strong understanding of the home care industry. This individual will serve as the first point of contact for prospective clients and families during what is often an emotional and uncertain time. The ideal candidate brings empathy, patience, and professionalism to every interaction, while also being highly organized and knowledgeable about home care services and eligibility requirements.
The Intake Sales Coordinator assists with both incoming calls and making outbound calls while guiding individuals through the initial inquiry and intake process with care and clarity, ensuring a smooth transition into services while making clients and families feel heard, supported, and confident in their decision.
Key Responsibilities:
- Answer all incoming inquiries with empathy, professionalism, and a deep understanding of home care services and making outbound calls.
- Establish trust with prospective clients and family members by listening attentively and validating their concerns.
- Clearly explain services offered, and the intake process.
- Gather all required personal, medical, and service information to determine eligibility and client needs.
- Coordinate assessments and evaluations with the internal team to ensure timely service initiation.
- Provide emotional support and reassurance to families navigating care decisions.
- Ensure all intake documentation is completed accurately and timely.
- Maintain HIPAA compliance and uphold the dignity and privacy of every client.
- Follow up on open intakes and track outcomes to ensure no prospective client falls through the cracks.
- Log all activities and communications accurately in the agency database or CRM.
Requirements:
Qualifications
- Previous experience in a call center, sales, or lead generation role required
- Familiarity with elderly care, home health, or senior services is a strong plus
- Comfortable with cold calling and objection handling
- Tech-savvy with the ability to learn new CRM tools quickly
- Strong communication and interpersonal skills
- Empathetic, patient, and professional demeanor
- Self-driven, results-oriented, and organized
