The right candidate for this position is someone with extensive experience in Safety who will support our projects. This person will constantly be responsible for successfully integrating safety initiatives into the functional operation of the different projects by maintaining processes and procedures to prevent injuries and violations of the law or company policies and minimize the environmental impact of our operations.
About the role
The Accounts Payable Administrator plays a critical role in maintaining accurate financial records, processing vendor invoices, managing payment cycles, and supporting job cost tracking. They will have a strong understanding of construction accounting principles, excellent analytical skills, and the ability to thrive in a fast-paced environment.
Essential Duties (other duties may be assigned):
- ·Review, process, and enter vendor invoices timely into accounting system, ensuring proper coding to jobs, departments, and general ledger accounts.Target to process all AP invoices within 14 days of invoice date.
·Reconcile purchase orders, delivery tickets, and job site confirmations with invoices to validate accuracy.
·Track and maintain lien waivers, subcontractor compliance documents, and insurance certificates.
·Assist in the weekly payment process including ACH, check runs, and credit card reconciliations.
·Monitor accounts to ensure timely payments and address discrepancies or vendor inquiries.
·Support month-end closing by preparing AP accruals and reconciling AP subledger to the general ledger.
·Maintain organized records of transactions and vendor files for audits and internal reviews.
·Analyze AP aging reports and collaborate with project management and procurement teams to resolve issues.
·Assist with job cost reporting and financial analysis related to supplier, material and subcontractor spend.
·Assist and collaborate with purchasing and cost control to resolve invoices, receiving documentations, and purchase orders.
·Ensure compliance with company policies, job cost coding standards, and internal controls.
·Demonstrate flexibility and commitment by performing other duties as assigned.

Education/Experience:
·3+ years of experience in accounts payable or accounting, preferably in construction, fabrication, or industrial services.
·Proficiency in accounting software (Viewpoint Vista or similar preferred).
·Solid understanding of job costing and project accounting.
·Construction industry and/or construction accounting experience preferred.
·Strong Excel skills and experience analyzing large datasets.
·High attention to detail, accuracy, and ability to meet deadlines.
·Excellent communication and organizational skills.
·Knowledge of lien laws, subcontractor documentation, and vendor compliance requirements is a plus.
Knowledge, Skills, and Abilities:

·Highly proficient in Microsoft Word, Excel, and PowerPoint.
