Job purpose
The Front Desk, Sales & Marketing Associate, serves as a key ambassador for the club, delivering welcoming and professional experience to all guests from arrival to departure. This dynamic role combines front desk operations with sales, marketing, and administrative support to ensure a seamless and service-oriented environment. Core responsibilities include managing guest check-ins and check-outs, handling reservations, responding to inquiries, and promoting club amenities and services. The associate is also responsible for processing guest billing accurately, including charges related to their stay, services, and amenities, and resolving any billing questions or discrepancies.
In addition, the role supports the Director of Sales/ General Manager by assisting with administrative tasks necessary to achieve budgeted sales goals. This position is ideal for a detail-oriented, customer-focused professional who excels in hospitality, communication, and organizational tasks.
Duties and responsibilities
- Assist and participate in sales promotions and strategies to best support the Club.
- ?Work closely with the Director of Sales/General Manager to develop event generated quotas and budgets.
- Outbound sales solicitation for corporate retreats, events or lodging needs to benefit the Club.
- Manage initial inquiry responses under the direction of the Director of Sales/General Manager
- ?Assist with inquiries to the Club via phone, cold calling, email, or drop-in, tours, and outbound sales.
- Assist with the development of event packages to address prospective needs.
- Providing attentive, courteous, and efficient service to all guests upon arrival and throughout their stay.
- Assists with any guest inquiries, answers incoming telephone calls, forwards call to the appropriate party or takes a message.
- Provides clerical support to the Club that may include but not limited to typing, copying, filing, composing routine correspondence, and preparation of outgoing mail.
- Establish and maintain good communication and teamwork with fellow associates and other departments within the Club.
- Maintain confidentiality and security of all guests' information.
- Document all guest requests, complaints, or problems immediately and notify designated department for resolving the situation. Follow up to ensure completion and guest satisfaction.
- Be aware of all rates, packages, and special promotions offered by the Club.
- Be familiar with all in-house groups and high demand/restricted dates.
- Share knowledge of the property and amenities, along with any special events, local area attractions and things to do around the Club.
- Accurately complete the check-in and checkout process.
- Use creative reasoning and brand standard service tools to overcome guest objections and concerns and to ensure guest service satisfaction.
- Restocks front desk area and supplies as required or assigned by immediate supervisor.
- Perform other duties as assigned.
Qualifications
- High school diploma or general education degree, preferred.
- Flexible Schedule: Must be willing to work a varied schedule that may include evenings, nights, weekends, and holidays.
- Customer Service Experience: Minimum 1–2 years of experience in a customer-facing role, preferably in hospitality, sales, or front desk operations.
- Administrative Skills: Proven ability to manage scheduling, data entry, and office support tasks with strong attention to detail.
- Sales Support Experience: Familiarity with sales processes, including lead follow-up, tour coordination, and CRM systems, is a plus.
- Billing and POS Knowledge: Experience handling billing transactions, processing payments, and resolving billing inquiries accurately.
- Communication Skills: Excellent verbal and written communication skills; professional phone and email etiquette required.
- Technical Proficiency: Comfortable using reservation systems, POS systems, Microsoft Office Suite (especially Outlook, Word, and Excel), and general office equipment.
- Organizational Ability: Strong multitasking, time management, and problem-solving skills in a fast-paced environment.
- Team-Oriented: Positive attitude with a collaborative spirit and willingness to assist in various areas of club operations.
Working conditions
Work is primarily indoors. May be Potential exposure to sharp and rapid equipment movement, sharp utensils, harmful chemicals and/or being exposed to flying golf balls.

Physical requirements
Good organizational and verbal skills. Ability to use logical and rational thinking to resolve issues. Ability to perform basic mathematical skills, monitor and develop subordinates, visually monitor the operation areas and write and read member communication.
Must have the ability to perform moderate physical work and may be required to lift up to 30 lbs., up to 20 lbs. frequently. Perform activities such as bending, kneeling, crouching, climbing, reaching, standing, pushing, lifting and grasping for up to 5 hours without sitting.
Please be advised that all work that requires the use of a ladder more than 8 ft. long must be reviewed by Hampton Golf's Club Maintenance person. Following an assessment of the situation, a determination will be made as to whether a maintenance team member or subcontractors will perform the necessary maintenance task. No other staff member is authorized to climb to heights exceeding 8 ft. and/or perform such maintenance. In addition, personnel are prohibited from entering facility attics, walking on the roof of buildings and/or from using scaffolding.
