Job Description
The Operations Assistant will provide high-level, hands-on support to the VP and AVP, playing a key role in ensuring the effectiveness of their daily operations. This individual will manage calendars, coordinate schedules and meetings, facilitate internal and external communication, and serve as a trusted partner in handling critical tasks and priorities. The Operations Assistant will also be responsible for managing company-wide communications on behalf of the VP and AVP, ensuring that updates, initiatives, and messages are delivered clearly and consistently. This position requires a high level of discretion, organization, and the ability to proactively manage tasks in a dynamic environment.
Position Responsibilities
Responsibilities may include, but are not limited to:
- Efficiently manage and coordinate the VP’s and AVP’s calendar, appointments, events, conferences, and travel arrangements
- Work with individuals and departments to ensure the VP’s and AVP’s meetings are maximized and well-prepared
- Prepare meeting materials, agendas, and take minutes
- Coordinate company-wide communication and messaging on behalf of the VP and AVP
- Draft, edit, and proofread documents, reports, and presentations as needed
- Act as a liaison between the VP/AVP and internal/external stakeholders, fostering positive relationships
- Track and follow up on key initiatives, ensuring priorities and deadlines are met
- Perform general administrative tasks to ensure the smooth functioning of operations
- Help maintain an organized and efficient working environment for the VP and AVP
- Proactively identify and address operational challenges to support leadership effectiveness
- Utilize office software and tools efficiently, staying updated on relevant technology
Required Qualifications
- Minimum of 2 years of experience as an Executive Assistant or a similar support role
- Strong verbal and written communication skills
- Exceptional organizational and multitasking abilities
- High attention to detail and a proactive, problem-solving mindset
- Proven ability to handle sensitive and confidential information with discretion
- Familiarity with the debt collection industry and relevant regulations is highly desirable
