Position Summary
The Executive Assistant will provide high-level administrative support to the Executive Director, ensuring the efficient operation of the foundation. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a mission-driven environment.
Key Responsibilities
- Administrative Support
- Manage the Executive Director's phone calls, calendar, appointments, and travel arrangements.
- Draft, proofread, and manage correspondence, reports, and presentations.
- Coordinate and prepare materials for meetings, including board meetings.
- Handle confidential information with integrity and discretion.
- Meeting & Event Coordination
- Schedule and organize internal and external meetings.
- Take and distribute meeting minutes, track follow-up actions.
- Assist with event planning, logistics, and donor engagements as needed.
- Communication & Liaison
- Serve as a point of contact between the Executive Director and staff, board members, partners, and donors.
- Maintain effective communication and ensure timely follow-up on key issues.
- Project Management
- Support cross-functional initiatives and ensure deadlines are met.
- Conduct research and compile data to support strategic decision-making.
- Operational Support
- Maintain records and filing systems (digital and physical).
- Assist with special projects and tasks as assigned by leadership.
- Coordinate with finance, development, and program teams when needed.
- Other duties as assigned.
Qualifications
- Bachelor"s degree or equivalent work experience preferred.
- Minimum of 3–5 years of experience in an executive or administrative assistant role, preferably in the non-profit sector.
- Strong proficiency in Microsoft Office Suite, Google Workspace, and virtual meeting platforms (e.g., Teams).
- Excellent written and verbal communication skills.
- Ability to handle sensitive matters with tact and discretion.
- Demonstrated organizational and problem-solving abilities.

The pay range for this role is:70,000 - 80,000 USD per year(Long Beach)
