GradePURPOSE The Advancement Services Data Manager is primarily responsible for managing the data used by the Seminary Relations team at Luther Seminary. This includes responsibility for gift and constituent record entry and updates, database and third-party data tool administration, creating and updating process documentation, fulfilling requests for data, and providing timely communication to donors.
KEY RESULT AREASWorks as part of the Seminary Relations team to maintain and increase philanthropic support of the Seminary. Serves as the main point of contact for Seminary Relations staff requesting updates to donor records and performs donor, prospect, and gift-related record entry. Monitors the Advancement Services request system and makes updates as necessary. Responsible for all gift entry, including checks, credit cards/direct debits, tuition support, recurring monthly gifts, planned gifts, pledges, pledge report, and payrollHelps respond to the day-to-day administrative needs of Advancement Services, including assisting development staff with the use of query tools and database functionality. Act as first-line support for user issues.Manage Raiser's Edge database, including maintaining the organization"s database policies and procedures, and performing global data changes as neededPrepares receipts and acknowledgements for donors.Assist the accounting team with departmental financial statements, account reconciliations, and deposit transactionsAssist in the management of ResearchPoint and Online ExpressPerform other related duties as assigned.
RELATIONSHIPS Reports to the Director of Advancement ServicesWorks closely with the Director of Advancement Services in the management of daily Advancement Services operationsInteracts regularly with the Senior Planned Giving Adviser and Sustaining (annual) Fund staff. Supports the work of Philanthropic Advisors and the Sustaining Fund TeamInternal relationships with: Office of Seminary Relations, Business Office, Administration and Finance, and Office of TechnologyExternal relationships with: Vendors, congregations, donors, constituents, partner institutions, including the ELCA and other nonprofit organizations
JOB SPECIFICATIONCommitment to Luther Seminary's Mission and Vision.Desired education and experience:Bachelor's degree or equivalent.
Minimum of five years' experience in advancement services or development operations.
Prior database systems experience required.
Effective written, oral, and interpersonal communication skills. Ability to understand and communicate effectively about complicated administrative projects.
Must be able to work under the pressure of time and frequent requests from multiple sources, each having their timelines and constraints, with all levels of academic and administrative staff.
Ability to exercise judgment and discretion in working with sensitive and often highly
confidential information
Proven ability to provide exceptional customer service to both internal and external audiences
C. Additional Requirements, skills, and abilities:
Knowledge of Raiser's Edge strongly preferred.
Intermediate to advanced knowledge of MS Word and Excel. Access is helpful.
Strong organizational skills; ability to manage projects and workflow, using time and resources effectively.
Strong attention to detail and respect for donor and institutional privacy.
Ability to develop and document process efficiencies.
Knowledge of the ELCA is helpful.
Familiarity with other mainline Christian organizations is also helpful.
