Key Responsibilities
Client Service and Relationship Support
- Act as a primary point of contact for clients, addressing and resolving client inquiries, requests, and issues in a timely and professional manner.
- Support financial advisors by preparing for client meetings, including gathering necessary documents, reports, and financial information.
- Assist in client onboarding, including account setup, completing paperwork, and ensuring all client documentation is accurate and compliant.
- Maintain ongoing client communication, ensuring that all follow-up actions are completed promptly and that clients are regularly updated on the status of their accounts.
- Document and track key client interactions and milestones in CRM systems to ensure accurate record-keeping and seamless communication.
Administrative and Operational Support
- Handle administrative tasks such as scheduling appointments, managing correspondence, and ensuring all client-facing materials are prepared ahead of meetings.
- Assist with account maintenance tasks, including address changes, beneficiary updates, and processing financial transactions such as distributions, contributions, and transfers.
- Ensure all client documentation is organized, scanned, and filed in accordance with company compliance standards.
- Support internal team members in preparing and reviewing client reports, presentations, and financial planning documents.
- Assist in managing workflows to ensure that client requests are processed efficiently and accurately.
Compliance and Risk Management
- Ensure all client-facing processes comply with the firm's regulatory requirements, including completing necessary compliance documentation and maintaining accurate records.
- Maintain awareness of regulatory and compliance updates, ensuring all client interactions and documentation align with industry standards and firm policies.
Qualifications
- 1 year of experience in a client/customer service, ideally in a professional office or financial services setting.
- Bachelor's degree
- Basic knowledge of financial services, investment products, and financial planning processes is a plus.
- Exceptional interpersonal and client service skills, with the ability to build strong relationships and maintain a high level of professionalism.
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks and deadlines.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM systems (e.g., Salesforce) is preferred.
- Ability to work effectively in a team environment while also demonstrating initiative and the ability to work independently.
