Overview
The Brokerage Services Specialist plays a key role in supporting the Brokerage department through effective deal management, client support, marketing coordination, research collaboration, and administrative oversight. This position serves as the operational backbone of the department, ensuring smooth transaction processes, consistent client communication, and timely delivery of marketing and client-facing materials. This role reports to the Manager, Brokerage Operations & Support.
Location: Indianapolis, Indiana
Work Schedule: Monday – Friday, 8:00am – 5:00pm EST
Travel Requirements: This role may require travel, up to 20% of the time

Essential Functions and Responsibilities
Deal Management
- Manage the deal process, ensuring accuracy and timely completion.
- Host and lead weekly pipeline meetings; deliver actionable updates to the line of business.
- Maintain accurate internal comps and support due diligence tasks.
- Monitor and track leads on platforms and respond to inquiries.
- Coordinate follow-up with potential clients, including sending marketing materials and scheduling tours or meetings as requested.
- Track and manage critical deal dates, update calendars, and schedule surveys and key activities as requested.
Marketing Coordination
- Oversee the creation and coordination of custom marketing materials.
- Manage timelines and output for client-facing collateral including tour books, owner reports, floor plans, and signage, ensuring deadlines and brand standards are met.
- Coordinate post-closing communication with clients to request reviews or case studies.
- Assist in developing custom business development materials as requested.
- Participate in monthly strategy meetings with research and marketing to align on project timelines and brainstorm initiatives.
Research Support
- Conduct property research using department tools, gather TIF data and fill out documentation as needed.
- Collaborate with the research team to source comps, contact information, and relevant property data.
- Abstract lead information from third-party platforms such as CREXi, LoopNet, and others.
Administrative & Client Support
- Maintain accurate filing systems and oversee document management processes.
- Manage calendars and coordinate property tour logistics, including scheduling and follow-up.
- Assist with creation and mailing of prospecting materials and client appreciation initiatives.
- Attend networking events to maintain visibility and relationships within the industry.
- Create and schedule social media posts in collaboration with marketing team.
- Track lease expirations and manage related outreach and documentation.
- Draft transactional documents (LOIs, PSAs, amendments, listing agreements) as requested.
- Maintain and update CRM records and assist with lead sourcing.
Qualifications/Requirements
- 3+ years of experience in commercial real estate, marketing coordination, or operations support, with proven experience supporting high producing sales teams
- Must hold an active real estate license in the state where they will be providing support
- Experience supervising others and managing timelines/deadlines
- Experience using CRE platforms such as Dealius, Buildout, LoopNet, LandVision, CREXi, etc
- Strong analytical and problem-solving skills with the ability to make independent decisions
- Excellent interpersonal and communication skills with the ability to build rapport and communicate effectively
- Detail-oriented with the ability to manage projects from inception through execution
- Proficient with Microsoft Office (Word, Excel, Outlook)
- Experience in Adobe Creative Cloud, In-Design preferred
