Reports to Supervisor. Functions as first responder to ancillary block requests. Applies block requests in a timely and efficient manner and follows up. Develops process standards for work flow for Integrated Patient Scheduling (IPS) and ancillary departments and establishes standards of work. Identifies, communicates, and provides solutions and resources for problems and errors to IPS staff in a constructive and positive manner.

Systems
- First responder to ancillary block requests.
- Applies block requests in a timely and efficient manner and provides follow-up communication to ancillary departments when needed.
- Collectively works to develop steps and expand the scheduling system to its fullest potential.
- Works in a team capacity to develop process standards for work flow for IPS and ancillary departments and establishes standards of work.
- Applies modality schedules (excluding base schedules) in a timely and efficient manner.
- Maintains Hints and Comments in PHS in a timely and efficient manner.
- Acts as resource person for trouble shooting.
- Assists in maintenance and building of the schedule systems.
- Thoroughly tests and prepares procedures prior to training.
- Helps develop and build new departments to IPS.
- Effectively utilizes all reports in applications.
- Effectively organizes and maintains ALL ancillary department notifications.
- Oversees the adding and maintenance of Non-Staff Physicians in STAR, PHS, & CareReady using established protocol.
- Collaboratively and effectively oversees administration of Order Management Solution.
Communication
- Promotes and maintains open and positive communication with co-workers internal and external customers.
- Works harmoniously with others to facilitate communication problem solving and education in an effective and precise manner.
- Maintains and organizes e-mail efficiently and effectively.
- Communicates identified problems/errors to IPS staff in a constructive and positive manner and provides solutions and resources for resolution as appropriate.
Continuing Education/Training/Professional Enhancement
- Views mandatory hospital training and attends scheduled departmental/hospital meeting within set guidelines to meet compliance for regulatory agencies.
- Reads all educational material posted in department in a timely manner.
- Assists in training and/or orienting of new and existing staff to role responsibilities, hospital policies, protocols and informational systems relative to the position of IPS scheduler.
- Demonstrates advanced knowledge of IPS department day to day operations, policies and procedures.
- Attends seminars and training sessions necessary to maintain appropriate level of professional competence.
- Creates training agendas, training tools and competently trains IPS staff.
Maintaining Protocols and Preps
- Ensures staff & ancillary department requests are examined and implemented in a timely/efficient manner.
- Ensures that current and accurate protocol information is distributed to IPS staff & ancillary department in a timely manner.
- Ensures bi-yearly reviews (or as determined) of all protocols are completed with modality point person(s), supervisor or manager.
- Over-sees maintenance of intranet preps and PHS preps by designated IPS staff.
- Contribute to the overall effectiveness of the department
- Completes other job-related duties and projects as assigned.
ORGANIZATIONAL RESPONSIBILITIES
Associate complies with the following organizational requirements:
- Attends and participates in department meetings and is accountable for all information shared.
- Completes mandatory education, annual competencies and department specific education within established timeframes.
- Completes annual employee health requirements within established timeframes.
- Maintains license/certification, registration in good standing throughout fiscal year.
- Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
- Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
- Adheres to regulatory agency requirements, survey process and compliance.
- Complies with established organization and department policies.
- Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience
- The knowledge, skills, and abilities as indicated below are normally acquired through the successful completion of a High School Diploma or Equivalent. Medical Terminology course is required. A minimum of 1 to 2 years of job-related experience is required. Previous medical office or patient scheduling preferred. Previous experience in software applications management preferred.
Knowledge & Skills
- Must be able to keyboard 35-45 wpm, ability to read, write legibly and understand detail instructions.
- Previous scheduling experience in medical background desired.
- Experience in Microsoft Office i.e. Excel, Outlook, and Paint.
- Communicates in a positive and friendly manner.
- Excellent written/oral communication skills required.
- Must be able to work effectively with diverse group of people.
- Excellent customer service, problem-solving and analytical skills with understanding of testing and quality.
- Ability to manage multiple projects simultaneously with excellent attention to detail.
