Position Summary
The Regional Facilities Manager (RFM) plays a critical role in maintaining and enhancing the operational and aesthetic standards of our facilities across the NY Metro area. This individual will act as the “boots on the ground” for the Facilities Department, ensuring proactive maintenance, vendor coordination, compliance, and operational excellence across multiple sites.
Key Duties & Responsibilities
Facilities Operations & Oversight
- Collaborate with the Facilities Department to maintain a proactive, systematic approach to facility management across all locations.
- Support the management of the organization's fleet of vehicles.
- Schedule and track all inspections and certifications; coordinate and ensure timely corrective actions.
- Assist in the creation, maintenance, and organization of Facilities and Safety Standard Operating Procedures (SOPs).
- Support asset tagging and implement maintenance schedules for all facility equipment.
- Coordinate preparation and communication for visitors in corporate housing, including room readiness and house rules.
- Establish and maintain vendor partnerships to ensure cost-effective services.
· Core Responsibilities
- Maintaining established aesthetic & operational standards via multiple methods
o Extended on-site visits
o Scheduled & “pop-in” walkthroughs
o Daily Property Condition Report forms
o Checklists
o Enforcement of established standards
o Staff trainings / safety meetings
- Maintaining a consistent physical presence across all NY Metro sites
o Serving as the Facilities Department's “eyes & ears” and “boots on the ground”
- Proposed RFM / QCM schedule
- RFM would spend 3 to 4 days a week visiting all NY location and remaining days would be administrative to meet with corporate team and planning
- RFM would meet with on-site facilities staff daily
- RFM would meet with site's SBL / ABL weekly (JM and/or JT to attend in-person or Teams)
- RFM would perform any needed inventories (Imperial Dade, etc)
- Potential to shift schedule occasionally (12-8pm?) so RFM can observe / coach PM cleaners at West Hempstead, Queens & Brooklyn
- Facilities Work Orders
- RFM will follow-up on “Completed” WO's, reconcile them to “Closed”, and send closing emails to original WO submitters.
Qualifications
- Minimum of 5 years of related facilities management experience.
- Exceptional organizational, communication, and multitasking skills.
- Proven ability to manage multiple projects across various locations simultaneously.
- Proficiency in Microsoft Outlook, Excel, Word, Asana, and other scheduling or project management tools.
- Ability to create and manage budgets, templates, and operational plans.
- Strong attention to detail with a proactive, solution-oriented mindset.
- Valid driver's license and reliable transportation required.
- Willingness and ability to travel frequently to existing and new sites.
- Experience managing facilities work order systems and ensuring timely completion.
- Knowledge of safety standards and housekeeping best practices.
- Ability to collaborate with Facilities Coordinator on purchasing and inventory management.
