Purpose Statement:
Professional level oversight of the CCA Registrar function including management of all student, course, and grading data entry/reporting and assist with development of secondary master schedule. Supervises all student-related data entry and reports; Assist with Development of master schedule and conflicts resolution; Responsible for accuracy and reliability of PA's, report cards, and transcripts; provide technical expertise on data reporting and Class A Scheduler; assists with Course Guide editing as well.
Specific Responsibilities:
- Evaluate the Records of each CUM folder as presented to the Registrar office
- Scan CUM documents (all grades) for electronic upload to Financial Edge/BlackBaud system.
- Organize and administer the records, registration and graduation functions, including transcript evaluations,
- Responsible for collecting, recording, maintaining and reporting of student records within school and legal guidelines, e.g., grades, registration data, transcripts, mid-term verification, athletic eligibility and other associated audits
- Provide leadership and develop appropriate recommendations for the implementation of related technology application in support of enhanced services offered through Registration and Records
- Problem solve the research, analysis and resolution of student disputes as they relate to records and registration
- Collaborate with administrators, deans, faculty, IT and counselors to facilitate and improve services to students, including catalog and registration/records policy questions.
- Assists with the coordination of registration activities; implements strategies for the provision of registration and academic record services; identifies operational and strategic goals for academic records and registration.
- Creates, manages, and monitors innovative recordkeeping procedures; remains up-to-date on federal and state statutes; researches best practices related to the areas of academic records and registration.
- Responsible for the integrity, security, and maintenance of student academic records.
- Creates, manages, and monitors communications systems that link records and registration to other offices within the department and across the school.
- Communicates and collaborates with other staff, faculty, and students to resolve problems and obtain desired results.
- Assures compliance with all local, state, and federal regulations and laws regarding student recordkeeping.
- Participate in professional development activities that support the goals and objectives of the division of the college
- Provide back-up for records and registration services, issuing transcripts, answering phones, scanning, reporting grades and working special events
- Assist with the scheduling of student classes, including changes throughout the year
- Assure teachers' and students' information is correct in scheduler program
- Provide schedules for guidance counselors
- Facilitate and support full utilization of various course, grade, and student data reports (e.g. class lists, grade lists, class enrollment, and other reports as needed by staff)
- Responsible for employing scheduling software knowledgeably in creating annual master schedules for secondary school in consultation with Administration and updating Course Guide
- Manage the preparation and maintenance of secondary transcripts with all necessary information in consultation with Guidance personnel
- Responsible for exporting grades, printing report card and awards, and preparation necessary
- Provide enrollment reports upon request
- Manage incoming requests for school records and transcripts
- Assist Admissions Facilitators as required
- Collaborate with administrators, deans, faculty, IT and counselors to facilitate and improve services to students, including catalog and registration/records policy questions.
- Provide for timely scheduling of quarterly Interim Grades and Report Card processes
Strongly Preferred:
- 3 years registrar experience, or similar occupation, and candidates should have a firm technological understanding of SIMS
- Knowledge of principles and practices pertaining to registration services, state and federal policies pertaining to students in higher education, and record retention requirements.
