The Centralized Scheduler II is responsible for performing scheduling tasks with a high level of proficiency, ensuring efficient operations within the call center. This role requires independent problem-solving and decision-making to resolve patient scheduling needs while maintaining a strong focus on patient satisfaction. The Centralized Scheduler II serves as a peer resource for new hires, helping them acclimate to the work environment, answering questions, and providing quick guidance. This role also involves contributing to process improvements by sharing feedback, collaborating with team members, and ensuring compliance with organizational policies and healthcare regulations.
Essential Duties and Responsibilities:
- Proficiently schedule patient appointments across Premier’s multiple service lines using the Practice Management System, ensuring accurate and appropriate information is provided.
- Independently handle phone lines, patient inquiries, and scheduling, providing one-call resolution for most situations
- Ensure patients are taken care of in a timely manner, maintaining high patient satisfaction and professionalism in all interactions
- Thoroughly and accurately document patient interactions, messages, and scheduling information in the Electronic Health Record (EHR) system (EPIC).
- May assist with clinical issues as appropriate, based on qualifications and scope of practice
- Act as a peer resource for new hires, providing guidance, answering questions, and helping them acclimate to the call center environment
- Identify and address patient scheduling conflicts, assessing situations and applying appropriate skills before escalation
- Assist with the rescheduling of appointments, ensuring patients are informed of required documents or fees before their visit
- Utilize Service Excellence standards to resolve patient complaints and complex patient issues, ensuring a professional and positive experience for patients and colleagues
- Demonstrate responsibility and respect for patients, their families, and coworkers.
- Collaborate with care team members to ensure smooth patient flow and service delivery.
- Ensure confidentiality and HIPAA compliance at all times
- Keep other care team members informed when situations occur that disrupt timely patient flow through site.
- Contribute to community give back initiatives and be an advocate for Premier’s mission
- Adhere to patient care needs and the core values of Premier Community HealthCare to provide best-in-class patient experience
- Work towards attaining department goals and drive Quality Improvement / Quality Assurance (QI/QA)

Knowledge, Skills and Abilities:
- Demonstrates proficiency in scheduling systems, including EPIC or other Electronic Health Record (EHR) systems
- Works independently, efficiently managing scheduling tasks and resolving routine patient inquiries with minimal supervision
- Strong attention to detail when documenting patient interactions and scheduling information.
- Demonstrates flexibility and adaptability in responding to changes in workflow or operational challenges within the call center
- Capable of collaborating with peers, providing support to new hires, and maintaining positive team dynamics
- Identifies opportunities for process improvements and communicates feedback to supervisors.

Qualifications:
- High School Diploma or GED
- CNA License Strongly Preferred
- Minimum of 1 year of experience as a Centralized Scheduler or in a comparable healthcare role.
- Obtain and maintain Epic certification / annual compliance throughout employment.
- All clinical centralized II schedulers must adhere to credentialing policies
