POSITION SUMMARY
The Craig Foundation Event Specialist II is responsible for supporting the execution of all in-person, hybrid and virtual events for the Craig Hospital Foundation as well as select volunteer activities. The Event Specialist II is a revenue-generation position that contributes to the strategy, implementation, and analysis of these events. Our suite of events includes fundraisers and donor cultivation/stewardship events and are an integral strategy in introducing prospects to Craig Hospital, garnering mission-advocacy and philanthropic support, and demonstrating impact of giving The Event Specialist II is responsible for coordinating event logistics, managing mailing and guest lists, working with event-based volunteers, tracking and reporting on metrics/goals, and supporting stewardship of event donors. This role also manages a portfolio of event sponsors through the cultivation, ask, and stewardship cycle and coordinates sponsorship benefit fulfillment.
POSITION REQUIREMENTS
Location: 3425 S Clarkson St, Englewood, CO 80113 (located in the Foundation Building)
Shift: Monday- Friday 8 am- 4:30 pm, flexible to event schedules
Compensation: $26.24/ hour — $37.79/hour

- Licensure/Certification/Registrations: Must have current, valid Colorado driver's license in good standing and insurable.
- Education: Associate Degree or equivalent education/experience required. Degree, certificate or experience in event production, project management, hospitality preferred.
- Experience: 3-5 years related experience required. Experience in fundraising and nonprofit events preferred.
- Skills & Abilities: Excellent ability to organize, prioritize and meet deadlines while effectively managing multiple projects simultaneously. Possess good analytical and problem-solving skills; must be detail oriented with excellent follow-through and accuracy. Ability to relate to persons of all ages and diverse backgrounds, skills and abilities. Must be able to successfully and effectively communicate and collaborate with a variety of audiences, including internal and external stakeholders. Ability to present self in a personable, professional and energetic manner. Confidence in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook) and aptitude/desire to learn new systems and technology platforms. Ability to travel locally and nationally and to work nights and weekends as business needs dictate. Ability to display passion for the mission of Craig Hospital.
ESSENTIAL FUNCTIONS
- Coordinate the execution of a portfolio of signature fundraising events with annual revenue and growth goals. Strategically make recommendations for strategies that provide the best opportunity for prospects and donors to give before, during, and after events. Contribute to multi-year event strategy and event design.
- Provide event coordination for cultivation, fundraising, and stewardship events through: collaborating on strategic event invitation lists and event communications and promotions, researching venues and vendors; working with vendors and contracting companies; coordinating event logistics; executing events; and more.
- Create event project timelines, task and responsibility tracking, and input and decision-making pipelines. Document event processes and procedures.
- Provide support to event chairs and event committees. Maintain event files, complete data entry, prepare agenda, invoices, letters, contracts, and name tags.
- Participate in data- and experience-informed event sponsorship strategy and sponsor benefit fulfillment. Create tracking mechanisms, report regularly on goal progress, opportunities, and metrics; and galvanize other teammates to request sponsorships.
- Manage a portfolio of event sponsors and cultivate, ask, and steward these supporters. Responsible for the timely tracking and updating of action reports and opportunities in the database.
- Coordinate and execute on post-event stewardship and pipeline engagement, including thank you call program and event impact reporting. Collaborate on strategic and impactful post-event engagement activities.
- Utilize fundraising database to track invitations, communications, guest lists, and ROI; track and report on event goals; administer and pull event-related queries/reports; and complete other data-related functions.
- Support tracking and reporting on the effectiveness of event goals, including fundraising goals. Use data and industry experience/insights to inform goals.
- Present event strategy, lessons, and data/metric progress to leadership, board, and committees as requested.
- Provide auction support including requesting, collecting, tracking, and arranging items; issuing gift-in-kind acknowledgment letters, and entering item information in auction software Procure in-kind donations in support of events. Collaborate with digital philanthropy and graphic design teammate to launch event invitations and communications, generate donation forms, and update websites with event and sponsorship information.
- Collaborate with gift officers on ambassador-led events including salons and donor-initiated fundraisers. Provide logistical coordination, RSVP tracking, and other duties as requested.
- Utilize event-based technologies such as seating, auction, registration software. Responsible for event-based fundraising platforms (ex. TeamRaiser, RunSignUp).
- Coordinate event volunteers.

POSITION RESPONSIBILITIES/DUTIES

- Serve as back-up for onsite family night dinners and other volunteer and engagement activities.
- Administer event invitations and track RSVPs.
- Attend Event Committee meetings as needed. Prepare agenda and complete minutes.
- Give hospital tours.
- Report data to the business office for use on the 990 and other forms are requested.
- Perform event-related administrative functions.
- Work in database and event technologies.
- Follow up on gifts and pledges.
- Participate in staff meetings and strategic planning for the Foundation. Serve on subgroups/task forces as requested
- Become familiar with and follow hospital wide and department specific policies and procedures; seeking assistance from management when clarification or assistance is needed.
