About the role
- Waterford is seeking an Office Administrator who will be responsible for ensuring the smooth day-to-day operations of the office. This role supports onsite team members, manages administrative tasks, and helps maintain an organized and efficient work environment. The Office Administrator acts as a central point of contact for internal and external communications.
What you'll do
- Administrative Support
- Manage office correspondence, including emails, phone calls, and mail
- Maintain filing systems (physical and electronic)
- Schedule appointments, meetings, and conference calls
- Prepare reports, presentations, and documents as needed
- Office Operations
- Oversee office supplies inventory and order new supplies when necessary
- Coordinate maintenance and repair of office equipment
- Ensure office cleanliness and organization
- Assist with onboarding new employees (workspace setup, materials, etc.)
- Communication & Coordination
- Act as the first point of contact for visitors and clients
- Coordinate internal communications and announcements
- Liaise with vendors, service providers, and external partners
- Financial Administration
- Assist with basic bookkeeping tasks, such as invoicing and expense tracking
- Process purchase orders and maintain financial records
- Support budgeting and cost control activities
- Data Management
- Maintain and update Rent Manager records
- Ensure data accuracy and confidentiality
- Generate reports and analyze administrative data where needed
Qualifications
- Education
- High school diploma or equivalent
- Associate or bachelor’s degree preferred
- Experience
- 2+ years of administrative or office support experience preferred
- Skills
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Attention to detail and problem-solving skills
- Ability to prioritize tasks and work independently
