Job Summary
The Scheduling Specialist at Thrive Wellness plays a crucial role in ensuring the seamless coordination of appointments and provider schedules while linking client needs to the appropriate specialties and facilitating navigation of internal and external referrals. This position is primarily focused on phone-based and administrative scheduling duties. The ideal candidate will be detail-oriented, organized, and dedicated to providing exceptional support to both clients and team members.
Key Responsibilities:
- Appointment Scheduling: Manage provider schedules by scheduling, confirming, and rescheduling appointments over the phone and online. Maintain accurate and organized calendars for providers.
- Client Needs Assessment: Link clients to appropriate specialties by understanding their needs and matching them with the best provider or service available.
- Referral Coordination: Facilitate the scheduling of internal and external referrals, ensuring smooth transitions and timely communication between providers and clients.
- Phone and Email Communication: Answer incoming calls, manage voicemail, and respond to email inquiries professionally and promptly.
- Insurance Coordination: Verify insurance information and ensure all necessary documentation is completed prior to appointments.
- Client Records: Accurately maintain and update client records in the electronic medical records (EMR) system.
- Scheduling Support: Collaborate with providers and staff to manage waitlists, coordinate referrals, and ensure scheduling efficiency.
- Administrative Tasks: Perform administrative duties such as data entry, scanning, and faxing, ensuring accuracy and compliance with office protocols.
- Team Collaboration: Work closely with the Client Experience Team and providers to troubleshoot scheduling conflicts and optimize workflows.
Qualifications:
- Education: High school diploma or equivalent required; an associate’s degree is preferred.
- Experience: At least one (1) year of relevant work experience, preferably in a medical office, scheduling, or customer service role.
- Skills:
- Proficiency in electronic medical records (EMR) systems and Google Suite applications.
- Knowledge of medical/mental health terminology and insurance processes is preferred.
- Strong organizational, multitasking, and analytical skills.
- Excellent communication and interpersonal abilities.
- Attributes: Detail-oriented, proactive, professional, and a team player with strong problem-solving skills.
- Additional Requirements:
- Must pass a federal background check at hire and every 3 years.
- Must adhere to the drug-free workplace act.
- Demonstrates adaptability, flexibility, and professionalism in a dynamic environment.
Physical Requirements:
- Ability to sit for extended periods.
- Ability to lift up to 20 pounds occasionally.
- Ability to perform tasks involving typing, standing, and walking.
Working Conditions:
This role is based in a wellness center environment, with the majority of tasks performed over the phone or via administrative systems. Regular hours may vary based on office needs, including potential evening shifts.

Compensation and Benefits:
- Pay: $18.00 - $23.00 per hour
- Benefits: Health insurance, dental insurance, vision insurance, and paid time off.
Job Type: Full-time
Schedule: 8-hour shift, M-F from 9am-6pm or 10am-6:30pm, hours may vary
