The Marketing Associate role is vital in establishing a comprehensive local presence and patient experience. This role is primarily focused on creating an exceptional in-clinic atmosphere through events, promotions, and community engagement — while supporting a consistent and polished digital presence through social media content and collaboration with external agencies.

Key Responsibilities
1. In-Clinic Events & Experience (≈50%)
Event Planning & Execution
- Plan, organize, and execute in-clinic events including open houses, seasonal promotions, product launches, patient appreciation nights, and themed experiences.
- Manage all event logistics — venue setup, vendor coordination, invitations, RSVPs, signage, giveaways, catering and follow-up communications.
- Create a welcoming, on-brand, in-clinic atmosphere that reflects the clinic's luxury aesthetic and encourages patient engagement and conversion.
- Track and report on event attendance, leads generated, and new client conversions resulting from events.
Community Partnerships
- Develop and manage B2B partnerships with local businesses (e.g., gyms, salons, real estate offices, hotels, and corporate offices) to co-host events or cross-promote services.
- Identify collaboration opportunities with local chambers of commerce, charities, and community organizations to increase clinic visibility.
- Act as a brand ambassador at community and clinic events, ensuring a polished and consistent clinic representation at all times.
Referral & Loyalty Programs
- Manage referral, VIP, and loyalty programs designed to encourage repeat visits and word-of-mouth growth.
- Monitor program performance and recommend enhancements to improve patient retention and engagement.
- Manages & promotes on-line Shopify account for monthly specials, promos, etc.
2. Social Media, Digital Support & Agency Liaison (≈50%)
Social Media Content
- Capture and create engaging in-clinic content for Instagram and Facebook, including behind-the-scenes moments, event highlights, promotions, and patient education (with appropriate consents).
- Maintain a consistent posting cadence aligned with the clinic's brand voice, aesthetic, and marketing calendar.
- Monitor social media engagement and respond to comments and messages in a timely, on-brand manner.
Agency Briefing & Website Updates
- Serve as a point of contact for the clinic's external marketing and advertising agencies, providing clear, organized briefs for campaigns, website updates, and creative projects.
- Communicate upcoming promotions, events, and service updates to agencies to ensure all digital channels — including the clinic website — remain current and accurate.
- Coordinate with agencies on SEO priorities, including flagging new services, seasonal content opportunities, and local search optimization updates.
- Review agency deliverables and provide feedback to ensure alignment with clinic branding and goals.
Marketing Calendar & Coordination
- Maintain and manage the marketing calendar, ensuring all campaigns, events, and promotions are planned and communicated in advance.
- Coordinate internal communications so clinic staff are informed and prepared for upcoming events and promotions.
Print & Promotional Materials
- Creates monthly specials flyers for in-office use and/or to promote events, GWP, etc.
- Updates existing treatment plan, brochures, marketing materials, etc. with vendors
Qualifications
- Bachelor's degree in Marketing, Communications, Events Management, or a related field
- 2–4 years of marketing or events experience, ideally in beauty, wellness, medspa, or retail environments.
- Proven ability to plan and execute in-person events that drive measurable new business.
- Experience managing social media accounts (Instagram, Facebook) with strong visual and written communication skills.
- Familiarity with briefing and working alongside external marketing agencies or vendors.
- Basic understanding of SEO concepts and website content management is a plus.
- Highly organized with strong project management skills and the ability to manage multiple priorities simultaneously.
- Energetic, personable, and comfortable representing the clinic in community and client-facing settings.
- Eye for luxury branding, detail, and creating elevated patient experiences.
- The ideal candidate would be able to allocate 20-24 hours per week. Weekends sometimes required
