The Opportunity
Are you a natural leader who thrives in the fast-paced world of clinical operations? We are looking for an Assistant Office Manager who is more than just an administrator—we’re looking for a "Leader of Patient Experience."
In this pivotal role, you will bridge the gap between front-office precision and back-office clinical excellence. You won’t just be monitoring schedules; you’ll be optimizing the heartbeat of our clinic, mentoring a high-performing team of Patient Access Reps and Medical Assistants, and ensuring every patient who walks through our doors receives seamless, world-class care.
Why You’ll Love Leading Here
- Operational Ownership: You have the autonomy to refine workflows, reduce wait times, and solve complex scheduling puzzles.
- Mentorship & Influence: You’ll be the "Subject Matter Expert" for our clinical team, shaping the careers of Lead MAs and front-desk staff.
- Strategic Impact: Beyond daily tasks, you’ll drive value-based initiatives (HCC, HEDIS) that define the future of our healthcare model.
- Professional Growth: We value ambition. This is a high-visibility role reporting to the Practice Manager, designed for someone ready to level up their career in health services administration.
What You’ll Do
- Architect the Patient Journey: Oversee the entire front-end "Patient Access" ecosystem—from flawless insurance verification to the perfect check-out experience.
- Command Clinical Flow: Monitor ancillary services and MA performance, ensuring that vitals, medical history, and EMR documentation are handled with clinical precision.
- Master the EMR: Act as the go-to expert for EMR templates and task completion, ensuring our "digital paper trail" is audit-ready and accurate.
- Solve Problems in Real-Time: Serve as the escalation point for patient concerns, turning challenging interactions into wins through diplomacy and tact.
- Optimize Staffing: Manage daily staffing levels like a pro, ensuring we are always powered up to meet patient demand without burning out the team.
Who You Are
- Experienced: You have 3–5 years of medical office management experience and a deep understanding of Medical Assistant workflows.
- Knowledgeable: You speak the language of CPT/ICD-10 codes, HIPAA, and managed care guidelines.
- A "People Person" with Grit: You remain calm under pressure, can de-escalate a busy waiting room, and know how to motivate a diverse team.
- Tech-Savvy: You are proficient in EMR/EHR platforms and the Microsoft Office suite.
- Educated: You hold a High School diploma (required), though a Bachelor’s in Health Services or Business Administration is highly preferred.
The Essentials
- Physicality: Ability to remain mobile to supervise clinical areas and sit for extended administrative sessions.
- Flexibility: While we stick to a schedule, you’re the type of leader who is willing to step in when the clinic needs you most.
- The Reward: Competitive compensation, a fast-paced but supportive environment, and the chance to be a key player in a growing healthcare organization.
Ready to Lead?
If you’re a problem-solver who believes that "good enough" isn't good enough for our patients, we want to meet you.
