Job Summary: Reporting to the Administrative Director, Medical Education, this individual is responsible for data management /financial operations regarding the GME enterprise at WMC Health. The position is also responsible for the administrative support of ongoing Faculty /Professional Development for the GME community at WMC Health. Acts as liaison with other WMC Departments and individual program leadership to sustain GME operations.
Responsibilities:
- Collects and maintains aggregate data regarding the appointment and reappointment process for House Staff in accordance with established process; tracks process developments and makes recommendations on process improvement.
- Distributes electronic appointment packages to incoming residents and fellows as part of on boarding-process, and distributes electronic packages to reappointed residents and fellows.
- Prepares required documents (P02’s) to Human Resources for House Staff on WMC salary as required on annual basis in conjunction with appointment process.
- Maintains listings of GME Programs, Program Directors, Program Coordinators and Administrators; updates contact information and maintains email distribution lists.
- Monitors expirations of required certifications of WMC House Staff such as ACLS, BLS, PALS, ATLS, NRP and provides reports for distribution and follow-up by Program Coordinators; collaborates with WMC Organizational Learning and Development regarding House Staff completion of required on-line curriculum.
- Develops and maintains GME Website on the Beat; in collaboration with individual training program, assists with update of program specific information on external WMC and NYMC websites.
- Prepares drafts of Program Letters of Agreement based on in/out rotations approved by Graduate Medical Education Committee and/or GMEC Chair; prepares requests for Legal review as required; facilitates signatures on agreements; maintain electronic file of agreements in secure drive and residency management system.
- Monitors expirations of Program Letters of Agreement and Master Affiliation Agreements for
review and update as needed.
- Processes billing and invoices pertaining to resident rotations with financial agreements; monitors outstanding receivables.
- Prepares compliance reports for resident/fellow work hours using residency management system; distributes reports and facilitates the response of questions.
- Collects rotation schedules for all accredited residency/fellowship programs for review and comparison against rotation data entered by program, maintains scanned/electronic documents for institutional cost report preparation in secure drive.
- Prepares WMC GME Faculty/Professional Development schedule and announcements; facilitates documentation required for ACCME CME credit and acts as liaison with NYMC CME Office.
- Coordinates schedule of monthly Program Administration Council Meetings; prepares agenda and minutes.
- Coordinates schedule of monthly Chief Resident Council meetings; prepares agenda.
- Any and other duties and responsibilities as assigned.
Qualifications/Requirements:
Experience: 3-5 years’ related experience in Graduate Medical Education, Financial or Data Management, required. Strong information/data management data presentation and writing skills; close attention to detail.
Education:Bachelor’s Degree in related area, required.
Licenses / Certifications:
Other: Proficiency with Microsoft office applications (Word, Excel, Access, Power Point). Should have excellent organizational skills, an ability to multitask, and prioritize competing priorities, work independently and handle sensitive information in confidential manner. Should have interest in medical education, and the desire to work in a health care setting. Must be comfortable working independently and in a collaborative team environment consisting of diverse populations of staff, faculty and resident/fellows and other administrative personnel.
