The Intake Coordinator is responsible for coordinating the patient intake process for sleep-related products such as CPAP machines and accessories. This role involves coordinating with healthcare providers, scheduling consultations, and providing customer service support to ensure a seamless and efficient process while delivering the highest level of patient care.
Position Responsibilities |
- Coordinate all aspects of the admission process to UI Sleep Solutions services including reviewing admissions/intake forms with patients and/or family, entering patient information to/from EMR & billing platforms, and verifications and explanation of insurance benefits.
- Collaborates with referral sources to ensure adequate documentation is received for patient’s coverage and benefits.
- Communicates with patients regarding ongoing supply needs and assists with the creation of delivery tickets based on patient needs.
- Manages on-going documentation requirements including signed delivery tickets and/or tracking numbers based on patient requests, yearly documentation requirements, compliance reports, and patient documentation.
- Perform general receptionist duties and customer service.
- Understand and dispense items requested within the store, manage cash and credit card payments, and post accurately.
- Maintains knowledge of and comply with payer and regulatory standards related to CPAP and BiLevel CPAP.
- Actively participates in UICH quality assurance programs.
- Perform other duties as assigned.
Education and Experience Requirements |
- High school diploma or GED.
- Basic computer skills and proficient in Microsoft Office.
Desired Qualifications and Experience |
- Some healthcare experience.
- Experience with or basic understanding of health insurance. (deductibles, co-insurance, and out of pocket maximums.)
- Durable Medical Equipment experience desirable.
- Brightree and Epic experience desirable.
- Cash handing experience.

- High attention to detail and ability to type with minimal error.
- Ability to multitask, prioritize duties, and be flexible in a fast-paced work environment.
- Effective interpersonal and written and verbal communication skills. Excellent telephone skills.

- Ability to lift 35 lbs.

Expected Work Hours and Location |
General hours, Monday – Friday 8 a.m. – 6:00 p.m. and Fridays 8:00 a.m. – 4:00 p.m. This position is 100% on-site at our Iowa City Sleep Solutions office. Days and hours are subject to change with notice.
