As a Filing Specialist in our Administrative department, you will play a vital role in maintaining organized, efficient, and accurate file management systems. This full-time, hourly position requires attention to detail and a commitment to ensuring that all documents are appropriately processed and accessible to support the smooth operation of the organization. The ideal candidate will be proactive, well-organized, and comfortable working with both physical and digital files.
Responsibilities
- Sort, organize, and maintain physical and digital files according to established systems.
- Create, update, and label files for easy retrieval and secure storage.
- Coordinate with other administrative personnel to ensure timely file management for ongoing projects.
- Perform regular audits of filing systems to identify missing or misplaced documents.
- Prepare file reports and summaries to ensure compliance with company protocols and legal requirements.
- Assist in transitioning from physical files to digital storage systems, including scanning and archiving documents.
- Respond promptly to file retrieval requests from team members and leadership.
- Ensure security and confidentiality of sensitive documents in adherence to company policies.
Qualifications
- High school diploma or equivalent; additional certifications in office administration are a plus.
- Proven experience in filing, document management, or an administrative role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills in English.
- Proficiency in using filing software, office equipment, and Microsoft Office Suite.
- Attention to detail and ability to identify data discrepancies.
- Capable of handling sensitive/confidential information with discretion.
- Ability to lift and carry file boxes or equipment as needed.
The pay range for this role is:70,000 - 85,000 USD per year(Remote (Salt Lake City, Utah, US))
