About the Role:
The Administrative Assistant (Human Resources) plays a pivotal role in supporting the HR department within a durable goods manufacturing environment. This position is responsible for managing a variety of administrative tasks that ensure smooth HR operations, including maintaining employee records, coordinating recruitment activities, and assisting with benefits administration. The role requires close collaboration with HR professionals to facilitate onboarding, training, and compliance with company policies and labor regulations. By efficiently handling day-to-day administrative duties, the Administrative Assistant enables the HR team to focus on strategic initiatives that enhance employee engagement and organizational effectiveness. Ultimately, this position contributes to creating a well-organized, compliant, and employee-focused workplace in Wisconsin’s manufacturing sector.
Minimum Qualifications:
- High school diploma or equivalent required; Associate’s degree or higher in Business Administration, Human Resources, or related field preferred.
- Minimum of 2 years of administrative experience, preferably in a human resources or office environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with HR information systems (HRIS) or applicant tracking systems (ATS).
- Strong organizational skills with the ability to manage multiple tasks and maintain attention to detail.
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Experience working in the durable goods manufacturing industry or a similar industrial environment.
- Familiarity with employment laws and regulations relevant to Wisconsin and federal standards.
- Certification in Human Resources (e.g., PHR, SHRM-CP) is a plus.
- Experience with benefits administration and payroll coordination.
- Demonstrated ability to handle sensitive and confidential information with discretion.
Responsibilities:
- Maintain and update employee personnel files and HR databases with accuracy and confidentiality.
- Coordinate recruitment efforts by scheduling interviews, communicating with candidates, and assisting with job postings.
- Assist in the administration of employee benefits programs, including enrollment and documentation.
- Support onboarding processes by preparing new hire paperwork, conducting orientation scheduling, and ensuring compliance with company policies.
- Prepare HR-related reports, correspondence, and documentation as needed to support departmental functions.
- Serve as a point of contact for employee inquiries regarding HR policies, procedures, and benefits.
- Organize and maintain HR records in compliance with legal and company standards.
- Assist with scheduling training sessions and maintaining training records.
- Collaborate with payroll and other departments to ensure accurate employee data management.
