Essential Functions
- Take calls from customers (24/7) for service or part calls.
- Obtain the reported problem from customers.
- Collect all information from the customer regarding location, what documentation is needed, and contact information.
- Schedule and coordinate all service calls as calls are received.
- Complete Sales Orders for service calls and part sales from start to finish for invoicing.
- Take part calls, collect all information that will be given to the Service Manager to finish the quote process and delivery of the part.
- Apply for all Visa's if needed for international service calls.
- Arrange travel for service technicians.
- File and save all information related to the service calls.
- Insure cost competitiveness and maintenance of budget on all travel related costs. Budget questions will be always addressed with management. Must work toward elimination of over spending.
- Overlapping resource to receptionist duties: greet visitors and refer them to appropriate staff members; answer phone, route calls and take messages.
- Overlapping resource to prefill the Service Mission Report that will go to the Service Manager for completion.
- Overlapping resource to check service time cards and paperwork for accuracy.
- Overlapping resource to verify completeness of Service Mission Reports / Related Forms and type all returned service paperwork.
- Assist with the administration and promotion of specific projects, as required.
Qualifications
- High school diploma
- Must have the proven ability to read and write
- Ability to multi-task
Physical and Mental Demands
- May spend long hours sitting and using office equipment and computers
- Occasional lifting of supplies and materials.
- Must problem-solve, make decisions, organize, research and write frequently.
- Work Environment
- Office setting and occasional shop area interaction.
