Position Summary

Medical Records handles dual functions within the Radiation Oncology department. Initiates medical charts, collects and organizes medical records. Works closely with the front office personnel, providers, and clinical staff. Obtains pre certifications on radiation treatments and imaging studies. Works closely with insurance companies to obtain prior authorizations and coordinates peer to peer conferences between physicians and payors.

Core Job Functions
- Prepares records accurately to ensure timely access by authorized persons. Monitors chart for additional work assignments. Organizes and stores records appropriately to establish easy access for clinical personnel.
- Documents within EMR and hospital charting system data on precertification and payer correspondence. Ensures appropriate referral information is taken by the front desk staff to limit denial of services
- Obtains precertification for both professional and technical components of Radiation Oncology procedures before they are performed. Communicates status if needed to appropriate clinical and admin staff where denial maybe a possibility.
- Assists physicians and administrative staff on appeal processes and peer to peer correspondence when indicated. Provides clinical information to third party commercial payers as needed for payment justification.
- Adheres to the release of patient information and is compliant with HIPAA regulations. Releases protected health information in an efficient manner to appropriate parties. Prepares invoices according to type of request.
