Position Summary:
We are seeking a detail-oriented and organized Accounting Assistant / Receptionist with experience in Accounts Payable (AP) to join our team. This hybrid role combines front desk responsibilities with accounting support functions. The ideal candidate is professional, personable, and capable of multitasking in a dynamic office environment. This is a 6 month contract to hire on normal daytime hours.
Responsibilities:
- Receptionist Duties:
- Greet and assist visitors, clients, and vendors in a friendly and professional manner.
- Answer and direct incoming phone calls to appropriate personnel.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a clean and organized front desk and reception area.
- Order and maintain office supplies and handle general administrative support as needed.
- Accounting Assistant Duties:
- Process vendor invoices, ensuring accuracy and timely data entry into the accounting system.
- Match purchase orders, receipts, and invoices; verify pricing and terms.
- Prepare and process payments, checks, ACH, and wire transfers.
- Maintain vendor files and handle inquiries regarding payments and billing discrepancies.
- Assist with monthly closings and year-end audits as needed.
- Perform general clerical accounting duties, including filing, scanning, and organizing financial records.
