Job Summary: The Chief of Staff (COS) position reports directly to the CEO and acts on behalf of the CEO. The COS is a member of the CEO’s leadership team and, as needed, other advisory groups. The COS advises the CEO and coordinates with other WMCHealth leadership on all matters of interest to the CEO including policies, programs, personnel matters as well as projects involving government officials, campus colleagues. The COS represents the CEO in a variety of discussions and written exchanges with the aforementioned parties while also managing confidential and sensitive issues. The COS develops solutions to a wide range of issues throughout WMCHealth and liaises regularly with various department leaders such as the heads of HR, Legal, Compliance and Marketing/Communications. The COS performs a wide variety of duties which require tact, sensitivity, independent judgment, diplomacy, organizational skills, flexibility and direction. Must maintain strict confidentiality of all information.
Responsibilities:
Strategic Leadership 35%
- Report to the CEO and function as the CEO’s Chief of Staff. Provide coordination and liaise with other WMCHealth leaders on all matters of interest to the CEO. An essential role for this position is to integrate multiple parts of the organization including WMCHealth leadership, department leadership and faculty leaders to address issues and projects so that everything moves swiftly to resolution and/or execution.
- Represent the CEO on a broad range of discussions and meetings regarding programs, policies, exceptions and complex or sensitive issues. Identify issues that require cross-functional input and participate in the evaluation, analysis and coordination of strategic decisions and outcomes.
- Exercise sound judgment and independent initiative in bringing information or issues to the CEO.
- Provide day-to-day and long-term assistance to the CEO on a wide variety of assignments, both internal and external to WMCHealth. Triage issues and propose resolutions directly to the CEO.
- Work directly with executive leadership on short- and long-range strategic planning as well as on systemwide initiatives.
- Provide leadership and guidance in the delivery of staffing support to the CEO.
- Screen applications, interview candidates and either make selection decisions or recommend individuals to hire.
Program Development and Project Management 35%
- Responsible for the oversight and implementation of select action plans related to CEO initiatives. Ensure completion of key process steps such as communication, contracting, troubleshooting and barrier reduction/resolution.
- Research and interpret WMCHealth policies.
- Administer CEO standing committees; oversee special committees or programs reporting to the CEO.
- Undertake unique, sensitive and confidential projects assigned by the CEO and other senior leadership.
- Provide analysis and develop innovative solutions to a wide range of problems and/or initiatives.
Communications 30%
- Manage the generic CEO email account to ensure all queries receive an appropriate response.
- Assist with the true CEO email account to ensure that direct responses, delegated responses and appropriate actions are all carried out in a timely fashion.
- Serve as archivist for emails and documents which may need to be retrieved in order to confirm accuracy of understanding and/or ensure execution on plans and agreements.
- Review and edit correspondence for CEO signature.
- Partner with the SVP of Marketing/Communications to review and revise written remarks, speaking engagement remarks and slides.
- Lead analytical studies, committees and data collection efforts in response to requests from the CEO and outside agencies.
Essential Skills, Knowledge and Abilities/Competencies
- Working knowledge of the operational and long-range goals/policies of WMCHealth.
- Thorough knowledge of WMCHealth policies with regard to assessment, administration, allocation, and appropriate use of resources.
- Thorough understanding of the mission, operations and sensitive nature of the CEO’s Office.
- Proven strong political acumen skills and the ability to apply such skills in a diverse and complex organization. Proven ability to apply high ethical standards to business practices and decision making.
- Proven ability to handle highly-sensitive and confidential issues that require independent judgment and strict discretion.
- Demonstrated ability to work with senior officials and executives from within and outside WMCHealth, and ability to think strategically and serve as a sounding board for executive managers.
- Demonstrated ability to interact diplomatically with diverse personalities and to exercise judgment and tact in interactions with faculty, staff and the public.
Qualifications/Requirements:
Experience:
- Prior experience as a Chief of Staff or similar position in a large, complex, integrated organization in a university setting, preferred
- Prior experience as a Project Manager, preferred
Education:
- BA, required
- MBA or MHA, preferred
