The Special Events Manager is a detail-oriented and collaborative professional who supports the planning, coordination, and execution of Hanley Foundation’s signature and community events. Working under the direction of the Director of Special Events, this position assists in managing logistics, marketing, sponsorship fulfillment, and volunteer coordination to ensure the success of fundraising events that support the Foundation’s mission.

Main Duties and Responsibilities:
Assist in developing and executing annual special event plans.
Support event committee functions, including communications, meeting preparation, and follow-up.
Coordinate logistics for events such as vendor communication, timelines, and run-of-show documents.
Assist in managing event budgets, processing and tracking expenses, deposits, and invoices.
Maintain event-related data and documentation, including guest lists, sponsorships, auction items, and post-event reports.
Collaborate with the marketing team on event materials including invitations, signage, programs, and email/social media content.
Assist with auction solicitation, item tracking, and display preparation.
Support on-site event execution including setup, registration, vendor/sponsor coordination, and breakdown.
Help manage and train event volunteers and temporary event staff.
Ensure high-quality guest experience by anticipating needs and solving issues proactively.
Perform post-event evaluations and contribute recommendations for future improvements.
Utilize development and event software to track engagement and produce reports.
Perform other duties as assigned by the Director of Special Events, Director of Marketing or Chief Advancement Officer.
Education/Experience Qualifications:
Bachelor’s Degree or minimum 2–3 years of relevant event planning experience.
Experience supporting nonprofit fundraising events is preferred.
Knowledge of donor relations, sponsorships, and volunteer management a plus.
If in recovery, one (1) year of continuous sobriety is required (exceptions may be granted on a case-by-case basis).

Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Detail-oriented with a proactive approach to problem-solving.
Ability to work well in a team environment and independently.
Comfortable working in a fast-paced, deadline-driven environment.
Proficient in Microsoft Office Suite and familiar with event software and donor databases (e.g., Raiser’s Edge, Maestro, OneCause).
Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
Must be able to work flexible hours, including evenings and weekends, as needed.
