Job Title: Administrative Assistant & Program Administrator
Location: On-site at Saint John Campus, 212 McAllister Drive, Unit 123, NB, E2J 2S7
Hours: Monday to Friday, 7:30 am - 4:00 pm
Start Date: Immediate
The Opportunity:
The Administrative Assistant/Program Administrator is a critical position at Eastern College. As the indisputable manager of first impressions, the demands placed on this position require that the employee be very friendly, confident and organized.
One of the major purposes of this position is to provide a point of contact for all persons who visit or contact triOS ensuring that everyone feels good about their first impression.
This position also supports day-to-day operations of the Campus by assisting the Remote Education Director to ensure that all administrative activities are current and up to date. A great first impression is the cornerstone to a successful campus.
What you"ll be doing:
- Manage and direct incoming telephone calls.
- Greet all visitors to the campus.
- Carry out campus opening and/or closing procedures if required.
- Manage and maintain common areas.
- Provide support to Remote Education Director (RED), Education Consultants, Employment Specialists and Financial Aid Officers.
- Provide administrative support to support daily campus operations.
- Manage and maintain stationary levels and consumables.
- Manage & maintain inventory including, distribution of courseware to students, adjustments and ordering of courseware.
- Manage exam vouchers and Self-Test Software process including XCAS data entry.
- Order uniforms as required.
- Prepare program reports and documentation.
- Monitor daily attendance reports and record on XCAS to ensure hours are recorded correctly.
- Maintain diploma and transcript process.
- Set up new student orientation.
- Manage memberships for diploma programs ensuring proper paperwork is submitted.
- Plan and organize graduation ceremony.
- Manages parking in the campus (where applicable), by collecting monthly fees, updating the spreadsheet and ensuring parking properly managed within the campus.
- Maintains certificate board.
- Entrance testing for potential students and recording results.
- Provides students with additional printing credits.
- Handles payments for new clients and students
- Other duties as assigned.
What you bring to the position:
- Minimum Grade 12 (OSSD or equivalent) required.
- 1-2 years proven success in customer service is required.
- Proficient in using office software and communication tools such as Microsoft Office Suite, email, and phone systems.
- Excellent communication skills.
- Strong organizational skills to manage multiple tasks and priorities efficiently.
- The ideal candidate should possess a warm, caring, and friendly demeanor to create a welcoming environment for students and visitors.
