JOB SUMMARY

The Unit Secretary provides clerical and other support services in order to maximize the ability of nursing personnel to provide patient care.

DUTIES AND ESSENTIAL FUNCTIONS

Overall performance rating of below indicated essential job duties:

Provides telephone coverage for the nursing station, including the routing of incoming and outgoing calls, message taking, covering desk for stat procedures. Serves as a resource person for inquiries from other departments. Responds to public inquiries by directing them to the appropriate person. Greets all patients, visitors, employees and physicians upon arrival to the unit. Monitors patient call lights and informs nurses of patient needs in a timely manner.

Provides clerical support. Prepares and compiles patient's charts and other records. Maintains the patient's medical record with required forms. Prepares the admission chart. Provides all the appropriate forms for admitting nurse relative to the type of admission. Accepts other clerical work as requested to include but not limited to copying of materials as needed.

Processes the discharges of patients by checking for and verifying the completion of the physician's discharge sheet and notifies nurse of discharge order. After discharge of patient, breaks down chart in proper arrangement for medical records. Checks for nurse and charge nurse's admission history, signature and discharge note for missing forms. Copies and sends discharge information to nursing homes as per policy. Enters correct discharge information into computer. Reviews discharged record for missed charges and enters correctly. Accurately charges for all supplies and equipment.

Retrieves old medical records, prints admission package, puts chart together, with transfer form present. Prepares the transfer of patients by obtaining old charts from medical records, transfer form with labels. Prepares chart, transfer form and enters into computer and/or data processing system. Changes labels to proper room and location. Changes chart binder.

Keys patient information into the computer system. Enters charges in the computer system. Maintains patient charts.

Maintains up-to-date assignment board, bulletin board and other communication sources. Initials and files all diagnostic reports in appropriate location in chart after review by the charge nurse. Establishes, organizes and maintains functional work environment on the units. Consistently organizes and maintains unit supplies. Maintains unit par-levels through ordering and stocking of office supplies and forms.

Assists with on the job training and orientation of new unit secretaries. Accepts reassignments to other units and/or alternate shifts.

EDUCATION/LICENSE/CERTIFICATION/OTHER REQUIREMENTS

Minimum requirement:
-
High school diploma or general education degree (GED)
-
Must type 35 correct words per minute

Preferred qualifications:

Related experience and/or training preferred

WORKING ENVIRONMENT

Works indoors in an office/clinic setting

The noise level is usually moderate

Constantly required to maintain a stationary position behind a computer.
