Job Purpose
The Administrative Assistant supports the Vice President of Administration in carrying out the daily administrative functions of the firm. This position will also serve as a coach and mentor for other positions in the department.

DUTIES & RESPONSIBILITIES of an Administrative Assistant: Duties will include, but are not limited to the following:
- Communicate and engage clearly and effectively with clients/prospects; respond to their requests and resolve issues to meet their needs.
- Assist senior executives to schedule meetings with clients and prospects to include other colleagues.
- Maintain tickler system to ensure client meetings are routinely scheduled.
- Greet clients and visitors and escort them to appropriate staff or meeting/conference room.
- Manage calendar and reservations for several conference/dining rooms used with clients and prospects.
- Ensure meeting rooms and/or office are adequately prepared.
- Order reports and prepare materials for client meetings.
- Assist VP of Administration to liaison with Building Management on problems with physical space (e.g. air conditioning, heating problems, leaks etc.).
- Coordinate with VP of Administration on placing service calls.
- Coordinate with VP of Administration on the status and ordering of general office/kitchen supplies.
- Coordinate with Building Security to authorize access to visitors.
- Maintain orderliness of pantry and workroom.
- Sort and distribute mail and publications.
- Maintain FedEx shipping supplies.
- Provide supplemental phone coverage for senior executives as directed.
- Assist with preparation and filing of expense reports and payment of invoices as directed.
- Assist marketing team with major events as directed.
- Provide occasional back-up support to other administrative positions within the firm.
- Maintain files, copies, scans and faxes.
- Assist with special projects and data entry.
JOB REQUIREMENTS (SKILLS / ABILITIES) of an Administrative Assistant:
- Requires an engaging personality to interact with clients and prospects in a professional and winning manner.
- Possess excellent oral and written communication skills to effectively express ideas, thoughts, and information using correct tone, grammar, organization, and structure that is appropriate for a High-Net-Worth audience.
- Ability to work cooperatively; make valued contributions to assist in achieving the best solutions.
- Own responsibility for a thorough and detailed method of working.
- Facility with spotting opportunities within a circle of influence; anticipating challenges and actively participating in problem solving.
- Handle confidential information appropriately.
- Excellent organizational skills and ability to prioritize multiple tasks.
- Proficiency with and experience using MS Word, Excel, PowerPoint and Outlook.
- Strong interpersonal skills and flexibility; ability to work with other staff members in a team effort.
- Ability to initiate and follow-through on projects.

EXPERIENCE / EDUCATION of an Administrative Assistant:
- High school diploma
- At least two years of administrative support experience
The actual base pay offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, years of relevant experience, distinctive skills, level of education attained, certifications or other professional licenses held. Base pay is one component of Chevy Chase Trust's total compensation package, which also includes access to or eligibility for healthcare benefits, a 401(k) plan, short-term and long-term disability coverage, basic life insurance, bonus plans and more.
