About the role
Planstin Administration is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to the Director of Operations. This role requires an individual with exceptional communication skills, a strong ability to anticipate needs, and a proven track record of managing multiple priorities. The Executive Assistant will play a vital role in ensuring the overall success of the Operations department.
What you"ll do
·Administrative Support:
oManage calendars, including scheduling meetings, appointments, and travel arrangements.
oPrepare and edit correspondence, presentations, reports, and other documents for internal and external audiences.
oOrganize and maintain confidential files and records, ensuring easy retrieval and adherence to data privacy protocols.
oProcess expense reports and manage invoices in a timely and accurate manner.
oHandle incoming communications (phone, email) with professionalism and discretion, filtering and prioritizing as needed.
·Operational Support:
oAssist the Director of Operations in preparing meetings, including compiling agendas, preparing pre-reading materials, and taking accurate minutes.
oSupport Claims Manager with duties such as scanning and electronic filing.
oTrack and follow up on action items from meetings, ensuring deadlines are met and stakeholders are informed.
oConduct research and gather information to support operational initiatives and decision-making.
oAssist with special projects as assigned by the Director of Operations, including project coordination, data analysis, and report generation.
oCollaborate with other departments to facilitate communication and streamline processes.
oSupport the Director in managing departmental budgets and resource allocation.
oManage the lobby of Planstin and receive all incoming visitors and vendors.
oAssist the HR department with monthly town hall meetings with setup and clean up.
·Communication & Collaboration:
oAct as a primary point of contact for internal and external stakeholders, representing the Director professionally and effectively.
oFoster positive relationships with team members across all departments.
oCommunicate effectively and proactively, anticipating needs and providing timely updates.
Qualifications
- Bachelor"s degree preferred.
- Minimum of 2 years of experience as an Executive Assistant supporting a senior-level executive, preferably within a fast-paced corporate environment.
- Exceptional organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with project management tools (e.g., Asana, Jira) is a plus.
- Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
- Strong interpersonal skills and the ability to build rapport and trust with diverse individuals.
- Demonstrated ability to exercise discretion, maintain confidentiality, and handle sensitive information with integrity.
- Proactive and resourceful with a strong problem-solving aptitude.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.

The pay range for this role is:20 - 25 USD per hour(St. George)
