About the Position:
In this role, you will be the first and last point of contact for our patients, ensuring a welcoming and professional experience. Your responsibilities will include managing appointment scheduling, coordinating provider calendars, handling high volumes of phone and text communications, and facilitating smooth patient flow throughout the clinic
Work Schedule:
This is a full-time position requiring 40+ hours per week. We believe in maintaining a healthy work-life balance while ensuring business needs are met.
Responsibilities:
- Greet all patients with a smile and enthusiasm, creating a positive first and last impression.
- Schedule and confirm patient appointments for consultations, treatments, and follow-ups.
- Coordinate provider schedules to maximize efficiency and minimize downtime.
- Manage cancellations, rescheduling, and waitlists while maintaining accurate records.
- Serve as the first point of contact for patients, providing information about services, pricing, and promotions.
- Answer high volume of telephone calls and patient text communications.
- Collaborate with clinical and administrative staff to ensure smooth patient flow and timely service delivery.
- Assist in collecting payments and processing invoices.
- Cultivate strong relationships with clients to promote loyalty and repeat visits.
- Address client concerns or complaints professionally, escalating issues when necessary.
- Educate clients about new treatments, products, and promotions to enhance their experience.
- Ensure the reception area is clean, organized, and welcoming for clients.
Qualifications:
- Knowledge of medical terminology, cosmetic procedures, and skincare products is a plus.
- Minimum of 2 years of experience in a medical office or medical spa setting.
- Experience managing phone systems and scheduling in a medical office environment.
- Excellent communication, organizational, and multitasking abilities.
- Proficiency in computer systems and typing skills.
