Position Summary
KIND seeks a Facilities Coordinator for our Seattle, Washington office location. The incumbent reports to the Facilities Manager within KIND’s Operations department. The Facilities Coordinator will ensure the efficient and effective day-to-day operations of KIND office(s), through management of key administrative priorities, and collaboration across organizational functions and components including workplace operations, finance, security, and human resources. This is a hybrid role and requires in office presence at least 3 times per week, as needed. Needs requiring additional in-office time include special events or guests, delivery and supply management, and vendor management.
Essential Functions
- Ensures the smooth operation of KIND’s Seattle, Washington office location by overseeing and coordinating local facilities-related matters; managing meeting spaces, assisting with mail and packages, procuring office supplies, managing field office inventory, and maintaining the overall organization of the office.
- Liaises with and oversees contractors and vendors to enable facilities maintenance and repairs.
- Tracks and manages dates of routine maintenance services, contract renewals, landlord visits, and lease expirations for each office.
- Physically present during scheduled preventative maintenance visits from vendors, and property management or landlord visits.
- Establishes and maintains working relationship with property management and landlords at the Seattle office.
- Acts as primary liaison between the local office and property management, ensuring that all facilities and concern are clearly communicated for prompt action or solution.
- Maintains a welcoming and secure environment by monitoring entry points and screening visitors in accordance with office protocols.
- Assists with onboarding and offboarding processes for staff and interns through the deployment & collection of equipment.
- Assists with the creation and implementation of standard procedures for each office.
- Ensures the setting up of accounts, equipment, and workstations, and provide troubleshooting assistance as needed.
- Provides support to the broader Facilities team, with ongoing projects and operational initiatives, executing the goals and objectives of the function. Projects may be office specific or extend to KIND-wide initiatives, such as office construction and decommissioning.
- Collaborates with the Managing Director regarding assigned locations and discuss weekly priorities and goals.
- Other duties as assigned by Facilities department leadership.
Qualifications and Requirements
- Graduate degree required.
- Must be fully fluent in English. Conversational Spanish a plus.
- Minimum of 3 years of experience performing administrative or facilities office duties.
- Working knowledge of project management tools, like ASANA, preferred.
- Flexible, with the ability to manage numerous priorities and emerging opportunities.
- Working knowledge of Microsoft Office Suite (such as Teams, Excel, etc.).
- Ability to work collaboratively and multi-task in our KIND environment, managing numerous priorities and emerging opportunities.
- Excellent organizational skills with the ability to work on multiple projects in a deadline-oriented environment; ability to prioritize tasks and delegate as appropriate.
- Ability to work effectively with people of diverse backgrounds, lived experiences, and communication styles.
- Be disciplined and nimble to ensure delivery on our core mission of access to justice and protection of children’s wellbeing and rights.
- Ability to multitask and work with a sense of urgency in a dynamic, fast-paced environment.

- Experience working and communicating in a remote environment.
