Job Summary
This position provides a variety of clerical and administrative and technical functions that supports all aspects of the Employee Health Services department. This position acts as the central point of contact for employees, volunteers and physicians in matters relating to employee health and health surveillance compliance. As the entry point to Employee Health Services, this position plays a key role in establishing an effective and positive workflow in the department: obtaining and records all patient information and responsible for patient reception, direction and correspondence. Primary Job Responsibilities
Front Desk Coordination: Greets all customers and acts as the first point of contact for questions and problem solving. Answers incoming calls and responds to routine inquiries or routes calls to Employee Health RN/Director. Maintains inventories of EHS forms and assists employees, volunteers, and physicians with form completion, ensuring completeness, thoroughness and timely submission. Coordinates ordering and inventory of supplies and other resources. Coordinates Respiratory Fit testing
Data Management:
Manages and responsible for all health records both electronic and paper charts. Oversees management of Meditech data base and NYSIIS. Works with IS for department reports as needed by Director and/or department. Maintains all pre-placement, annual assessment, ppd's, immunizations and Respiratory Fit testing in Meditech system for employees and volunteers. Assist with Blood Borne Pathogen data base. Assists with employee incident reports into worker's compensation carrier data base Responsible for coordinating data for Wellness Committee programs such as Biggest Loser Contest and Summer Walking Program.
Worker's Compensation Administrative Support:
Responsibility for entering all Worker Comp injuries into PMA, reviewing employee bills and sending to appropriate department/Company.
Record Management:
Responsible for management of all employee, volunteer and physician records in the Employee Health Department including but not limited to new hires, transfers, promotions and termination records and storage. Conducts yearly audits of files to ensure only active staff files in department. Works with HR for verification of active, termed or transfer employees.
Additional Responsibilities:
- Staff and Wellness Committee Meeting: Takes and Transcribes minutes.
- Provides patient communication and service recovery,
- Patient appointment reminders
- Provides communication via faxing, telephone and computer
- Chart preparation
Minimum Qualifications:
Associates degree and a minimum of two years experience in related administrative or clerical role within healthcare setting or a High School Diploma or GED with at minimum four years experience in related administrative or clerical role within healthcare setting.

Salary Range: $17.25 - $26.65
Pay Grade: 16
Compensation may vary based upon, but not limited to: overall experience and qualifications, shift, and location.
