Role Summary
As an Executive Assistant at ZRG, you will provide high-level administrative support to the Managing Director(s) and senior leadership, ensuring seamless operations and exceptional service delivery to clients and stakeholders. You are a proactive, detail-oriented professional who excels in a fast-paced, client-driven environment and thrives on building strong relationships while managing complex priorities.
Key Responsibilities
- Calendar and Scheduling Management: Manage complex calendars for senior executives, coordinating internal and external meetings, client engagements, and travel arrangements with precision. Account for time zones, competing priorities, and last-minute changes.
- Administrative Support: Prepare, proofread, and organize professional documents, including proposals, contracts, reports, and presentations. Ensure all materials meet [Company Name]'s high standards for accuracy and branding.
- Project Coordination: Support multiple projects by tracking deliverables, managing timelines, and ensuring tasks are completed on time. Maintain organized files and documentation per company procedures.
- Communication Liaison: Serve as a primary point of contact for internal teams, clients, and candidates, facilitating clear and professional communication. Handle sensitive correspondence with discretion and responsiveness.
- Technology Utilization: Leverage tools such as Salesforce, Microsoft Office (Word, Outlook, Excel, PowerPoint), and virtual conferencing platforms to manage workflows and engagements. Update systems accurately and adopt new technologies as introduced.
- Stakeholder Collaboration: Work closely with departments such as Client Services, Accounting, and Marketing to support executive initiatives and client deliverables. Anticipate leadership needs and proactively address them.
- Relationship Management: Build and maintain strong relationships with internal colleagues and external stakeholders, ensuring a positive and professional experience throughout all interactions.
- Problem Resolution: Independently resolve scheduling conflicts, administrative blockers, and other challenges, exercising sound judgment and minimal supervision.
Qualifications
- Bachelor's degree or equivalent professional experience.
- 5+ years of experience in an executive assistant, administrative, or project coordination role supporting senior management in a client-driven environment.
- Advanced proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint), virtual conferencing systems, and databases. Comfortable adopting new technologies.
- Exceptional organizational skills with a proven ability to manage multiple priorities and meet tight deadlines in a fast-paced setting.
- Strong interpersonal and communication skills, with a commitment to fostering a collaborative team culture and building relationships with colleagues and clients.
- Demonstrated ability to work independently, resolve issues proactively, and anticipate leadership needs with minimal direction.
- High level of discretion and professionalism when handling sensitive information.
Preferred Qualifications
- Bachelor's degree in business administration or a related field.
- Experience in the professional services industry, particularly in human resources or strategy-related roles.
- Familiarity with Salesforce, SharePoint, or similar platforms.
- 7+ years of experience supporting senior executives in a dynamic organization.
