Job Description/Summary
The Operations Assistant/Prevention Specialist supports both program delivery and internal operations for Prevention First and the Prevention Coalition of Monmouth County. This role facilitates evidence-based prevention programs focused on substance use, violence prevention, and life skills, while also managing supplies, staff orders, and financial documentation. Ideal candidates are skilled educators, organized multitaskers, and comfortable working with diverse communities. Evening and weekend availability is required.
Responsibilities
Operations & Administrative Support
- Manage inventory and procurement of office and program supplies.
- Maintain pantry and kitchen areas to support staff and visitors.
- Organize and maintain files, records, and documentation systems.
- Coordinate meetings, appointments, and internal communications.
- Assist the Director with administrative tasks, program orders, and expense tracking.
- Support internal workflows, team coordination, and grant-related documentation.
Prevention Education & Community Engagement
- Deliver evidence-based, culturally responsive prevention curricula to youth and adults in schools and community settings.
- Support the Prevention Coalition of Monmouth County through outreach, event coordination, and strategy implementation.
- Assist in planning and executing community-wide prevention initiatives and campaigns.
- Collaborate with school personnel, parents, and community stakeholders to promote engagement and participation.
- Collect, maintain, and analyze program data to support evaluation and continuous improvement.
- Prepare and submit timely reports for internal use and grant compliance.
- Assist with grant implementation, including tracking deliverables and outcomes.
- Represent Prevention First at community events, health fairs, and professional meetings.
- Stay informed on trends in behavioral health, prevention science, and youth development.
- Perform other duties assigned to support the mission and goals of Prevention First.
Competencies
- Strong organizational and time management skills required.
- Effective communication and facilitation abilities necessary.
- Basic knowledge of financial documentation and office systems.
- Proficiency in Microsoft Office and Google Workspace.
- Ability to work independently and as part of a team.
- Comfortable presenting to diverse audiences in schools and community settings.
- Flexibility to work evenings and weekends as needed.
- Practices a trauma informed philosophy as demonstrated through behaviors and communications, embracing it as a cultural value.
Qualifications
- Education: High School Diploma required, associate’s degree, bachelor’s degree in public health, Education, Social Work, Psychology, or a related field preferred.
- Licensure: Certified Prevention Specialist (CPS) or eligibility to obtain such is preferred; current NJ driver’s license in good standing necessary.
- Experience: At least 1–2 years of experience in administrative support, program coordination, or community outreach. Experience in prevention education or youth services is a plus.
