Job Description
The Shareholder Services Administrator will provide administrative support to the Director and Manager. Must possess excellent organizational skills, be detail-oriented, and will be expected to handle highly sensitive information with discretion and confidentiality. Professional interaction with employees, executives, owners, and outside advisors is essential. Additionally, the ability to manage time effectively and demonstrate proficiency in various related competencies is crucial for success in this position.
Responsibilities
Responsibilities include, but are not limited to, the following:
- Manage calendars, schedule meetings, and arrange Microsoft Teams calls with outside advisors
- Prepare, proofread, and edit agreements, documents, letters, and memos
- Electronically file financial and legal documents on the internal server and websites
- Compile and create visually engaging information and presentations for shareholders
- Develop and maintain standard operating procedures (SOPs)
- Assist in managing and updating shareholder information in the database
- Maintain and create Excel spreadsheets
- Prepare invoices and expense reports
- Submit, file, and track department expenses
- Conduct month-end financial reconciliations and assist with budget monitoring
- Assist with IT integration and improve work efficiency through automation
- Download and upload information from various software applications
- Prepare, file, and deliver stock certificates
- Coordinate outgoing mail
- Provide administrative support for marketing and design projects
